The Southwest Little Rock Ministry Partnership (Geyer Springs/St. Andrew UMC)

Administrative Assistant to the Pastor of Southwest Little Rock Ministry Partnership is one who has been given the sacred responsibility to assist the pastor/s of the congregation and entrusted with confidential matters regarding members, vendors, and the community as a whole. Their attitude and appearance are a reflection of the partnership to everyone who enters the church’s office areas. The individual position-holder should seek to regularly involve lay volunteers in this ministry of the partnership offices. They should always be conscious of the primary vision of Southwest Little Rock Ministry Partnership and be faithful to it. This is a part-time 20-hour per week position.

This person shall have:

  • have previous clerical experience
  • positive relational skills
  • proficient in computer databases and software including Word, Excel, PowerPoint, Google Docs, and Adobe Acrobat
  • must be able to initiate Zoom and other conference calls
  • excellent filing skills
  • Spanish speaking (preferred but not required)

Hours: 10 am until 3:00 pm, Monday thru Thursday (5 hours/4 days a week = 20 hours); hours may vary on days that Finance Committee meets

Vacation: One week after one year; two weeks after 5 years; 3 weeks after 10 years

Personal leave: Six days a year (1/2 day per month). Leave does not accumulate.

Continuing Ed: Incumbent shall attend one continuing education opportunity per year approved and paid for by the pastor and/or Staff Parish Relations Committee. Ex: Professional Administrators of the United Methodist Connectional Structure (PAUMCS)

Salary: The salary will be set from January 1 to December 31 following a review by the Pastor and recommendation of the PPR Committee to the Administrative Council. Once the package is established, you may divide it in any way as would be beneficial to their family.

The Ministry of the Administrative Assistant

  1. Keep partnership matters (pastoral counseling appointments, giving information, staff situations) confidential.
  2. Keep the pastor informed about all matters that the pastor should know concerning the partnership.
  3. Responsible for staffing office during working hours.
  4. Answer all incoming calls, receives and greet all visitors, remember this is often the first line of ministry contact for the partnership.
  5. Is responsible for all general office duties: mail, calendar of partnership activities, newsletter, bulletins, hospital code numbers, purchasing supplies. Travel time is inclusive of these activities.
  6. Coordinate membership records. This includes sending for transfers and keeping membership roll up to date.
  7. Replace sanctuary supplies.
  8. When time allows, be available to partnership committees for clerical work.
  9. Fulfill other duties as requested by the pastor.

Treasurer’s Ministry

  1. Shall follow all written policies of the Finance Committees of the churches of the Southwest Little Rock Ministry Partnership.
  2. Determine amount of money from offering to be placed in each bank account according to information contained on envelopes; budget, building, memorial, etc. Make deposits and post in checkbook.
  3. Keep financial records. Pay bills and payroll. Figure payroll taxes and fill out forms and send to IRS. Prepare monthly financial statement. Balance bank statements for each account. File paid receipts.
  4. Post offering envelopes to statements. Mail statement quarterly.
  5. Attend Finance Committee meetings staying until financial report has been reviewed.
  6. Fulfill other duties as requested by the pastor.
